Front Desk Web

Step-by-step instructions for staff to user Front Desk Web: manage members, process points and credit, redeem rewards, gift cards, and store cards, with multi-language support and real-time XM integration.

Overview

Eber Front Desk Web is the staff-facing interface for in-store operations, connected to CM for real-time management of members, loyalty programs, rewards, gift cards, and store cards.


Login

Authenticate staff and select store to access front desk operations.

  1. Enter Email and Password

  2. Click Sign In → redirected to Store Selection

  3. Select a store → redirected to Home Page

  4. Home Page displays the list of desks created in XM

Remarks:

Login required before any CRM / member / redemption operation.


Member Management

CRM Search

Search and manage member records by Name, Email, Phone, or Custom ID.

  1. From Home Page, select Desk CRM Search

  2. Choose search type:

    • Name / Email → input value → Search

    • Phone / ID → input value → Search

  3. Results return all partial matches (case-insensitive)

    • Searching by Member ID must be exact match

  4. Click any member record → Member Details page → staff can:

    • View details

    • Add transactions

    • Top-up / use gift cards

    • Redeem rewards

    • Use store card

Remarks:

Partial and case-insensitive search supported.

Member Lookup

Directly find members by phone, email, QR, or Custom ID.

  1. From Home Page, select Desk Member Lookup → Find Member screen

  2. Default search type = Phone, default country code matches business setting

  3. Search Method:

    • Phone: Enter full number → Search → Member Details

    • QR Codes: Click Camera → Scan → Member Details

    • Email: Select Email → input → Search → Member Details

    • Custom ID: Select Member → input Custom ID → Search → Member Details

Remarks:

Input value must be fully matched, otherwise – no results will be returned.


Redeem Reward / Voucher

Redeem rewards, gift cards, or store cards via QR / barcode scan or manual code input. Requires setup in XM to specify supported code types.

Reward Redemption

Setup in XM:

  • Integration → choose unique_codes

  • Option → Auto Created

  • Code Value to Display → Reward Shortcode

  • Display Type → Barcode / QR

Redemption Methods

  • QR / Barcode Scan: Scan during redemption

  • Manual Code Entry: Input reward shortcode (e.g. if reward URL = https://testfrontdesk.eber.co/rewards/my/RUZDX9P, enter RUZDX9P)


Gift Card Usage

Retrieve Gift Card Information (Methods Supported)

QR Scan:

  1. Standard QR Code (when "Code Value To Display" = Standard QR Code in XM)

  2. Card Serial Number (when "Code Value To Display" = Serial Number)

  3. Reference Number (when "Code Value To Display" = Reference Number)

Manual Code Input:

  1. Card Reference Number

  2. Card Serial Number (if configured)

  3. Shared Hash from URL (CS–...)

    • URL = https://chess-a.eber.co/cards/share/CS-AvvNpVLExC → Input CS-AvvNpVLExC

Redeem Gift Card

  1. Retrieve Gift Card Information

  2. Input Amount and Notes

  3. Click Confirm Redeem

Top-Up Gift Card

  1. Retrieve Gift Card Information

  2. Click Top Up

  3. Input Top-up Amount (MYR)

  4. Select Payment Method and add Notes

  5. Click Confirm Top-up → modal appears

  6. Enter Staff Passcode → click Confirm Passcode

View Gift Card History

  1. Retrieve Gift Card Information

  2. Click History, system displays full card transaction history


Redeem Store Card

  1. Scan Store Card QR Code

  2. System retrieves store card details

  3. Input Notes and Redeem Quantity

  4. Click Redeem Store Card Item → redemption completed

  5. If the store card has already been redeemed, message displayed:

    | "This store card item is no longer available for redemption."


Member Details Redemption / Transactions

Operations performed after searching for a member via CRM Search or Member Lookup. Includes points, credit, gift card, rewards, and store card actions.

Remarks:

  • User can configure whether actions required staff passcode verification in XM settings

  • Real-time sync to XM

Points / Transaction

Add a transaction to update member points.

  1. Search member via CRM Search or Member Lookup

  2. Click into Member Details

  3. Click Points / New Transaction

  4. Input Amount Spent and Notes

    • Only numbers accepted

    • If amount is empty → Submit disabled

  5. Click Submit → enter Staff Passcode → Confirm

Remarks:

  • Transaction reflected in real-time in XM

  • Submit disabled if amount invalid

  • Error message shown if passcode invalid

  • If the member's account is expired and 'Allow Expired Membership for Points Issuance' is not enabled in XM, transaction cannot be submited


Credit Use / Top-up / History

Use Credit

Redeem member credit for purchases.

  1. Search member → click into Member Details → click Credit

  2. Input Amount to Redeem and Notes

  3. Click Confirm Redeem → enter Staff Passcode → Confirm

Expected Results / Remarks:

  • Credit deducted in real-time in XM

  • Error message shown if passcode invalid

Top-up Credit

  1. Click Top-up in member Credit section

  2. Input Top-up Amount, select Payment Method, add Notes

  3. Click Confirm Top-up → enter Staff Passcode → Confirm

Expected Results:

  • Top-up reflected in real-time

View Credit History

  1. Click View Transaction in Credit section

  2. Display all credit activity history


Gift Card Redeem / Top-up / History

Redeem Gift Card

  1. Search member → Member Details → Gift Card

  2. Input Amount to Redeem and Notes

  3. Click Confirm Redeem → enter Staff Passcode → Confirm

Top-up Gift Card

  1. Click Top-up in Gift Card section

  2. Input Top-up Amount, select Payment Method, add Notes

  3. Click Confirm Top-up → enter Staff Passcode → Confirm

View Gift Card History

  1. Click View Transaction in Gift Card section.

  2. Displays all gift card transactions.


Reward Redemption

Redeem Claimed Rewards

  1. Search member → Member Details → Claimed Reward

  2. Input Notes → Confirm Redeem → Staff Passcode → Confirm

Redeem Unclaimed Rewards

  1. Member Details → Reward Redemption section → Select reward

  2. Input Notes → Confirm Redeem → Staff Passcode → Confirm


Store Card / Voucher Redemption

  1. Member Details → Store Card Package → Select Store Card

  2. Input Notes and Redeem Quantity

  3. Click Redeem Store Card Item → Confirm → Real-time sync

  4. Already redeemed → Error message: “This store card item is no longer available for redemption.”


Language & Notifications

Language Switch

Switch UI language between English, Simplified Chinese, Traditional Chinese.

  1. Go to Home

  2. Select Desk

  3. Click the Globe Icon

  4. Select the desired Language

Remarks:

  • Desk buttons are configurable in XM where it will not update automatically with language selection

Notifications

View notifications for store card, gift card, reward, or credit usage.

  1. Go to Home

  2. Select Desk

  3. Click Notification to view recent activities.
